Position Overview
The Project Coordinator & Accounting Specialist plays a key supporting role in both the financial and operational sides of the business. Working closely with the Office Manager and Sr. Estimator / Operations Manager, this person helps keep accounting functions accurate and current while ensuring projects are well-documented and communications flow smoothly between field and office.
The ideal candidate is organized, dependable, and comfortable working across both accounting and construction administration tasks. A strong accounting foundation is essential, and experience in construction or a project-based environment is a plus.
Core Responsibilities
Accounting & Financial Support
• Support accounts payable and receivable processes, including invoice tracking and vendor follow-up
• Maintain accurate bookkeeping records and assist with transaction entry in QuickBooks
• Assist with client billing coordination and timely invoice preparation
• Help track job cost coding and ensure project expenses are properly documented
• Support monthly reconciliation and financial reporting as directed
• Assist with compliance documentation including lien waivers, certificates of insurance, and municipal contract requirements
Project Coordination & Documentation
• Prepare and manage project submittals, transmittals, and documentation packages
• Maintain organized project files, drawings, revisions, and as-built documentation
• Coordinate project communications between office staff, field crews, and clients
• Support safety documentation and compliance tracking across active projects
• Assist the Sr. Estimator / Operations Manager with administrative project needs as they arise
Qualifications
2+ years of bookkeeping or accounting experience required
QuickBooks proficiency required
Proficiency in Microsoft Office, particularly Excel and Outlook
Experience in construction or a project-based industry strongly preferred
Ability to read and interpret basic project documents a plus
Strong organizational skills with high attention to detail
Ability to manage multiple priorities and communicate clearly across field and office teams
Positive, team-oriented attitude and willingness to pitch in where needed
